Description

Our client, a key entity within New Zealand’s education system, is seeking a highly capable Executive Assistant to support members of the School Property Leadership Team, including the Chief Executive for School Property. This critical role ensures smooth and efficient executive support during a transitional period covering annual leave and recruitment for permanent support roles.

You will be a trusted liaison, ensuring effective communication, organisation, and workflow management across the School Property Group, and playing an integral part in supporting the leadership team to deliver on its strategic and operational objectives. You will also play a key role in coordinating with other teams across Te Mahau and Te Tāhuhu to enable cross-functional collaboration.

This is an exciting opportunity for a seasoned Executive Assistant looking to make an impact in the public sector and contribute to the education of Aotearoa’s tamariki through effective leadership support.

Responsibilities

Executive Support & Relationship Management

  • Maintain the trust and confidence of the Leadership Team through professional, proactive support.
  • Build an understanding of key priorities and emerging issues, assisting in identifying risks and solutions.
  • Handle sensitive and confidential information with discretion.

Diary, Travel & Event Coordination

  • Proactively manage calendars, meeting logistics, and travel arrangements.
  • Book conferences, events, and related requirements in a timely, efficient manner.

Communication & Correspondence

  • Draft high-quality correspondence, reports, speeches, and presentations on behalf of the leadership.
  • Monitor and triage correspondence and emails, referring items appropriately and escalating key priorities.

Meeting & Document Management

  • Prepare agendas, take accurate minutes, and track action points from meetings.
  • Ensure timely distribution and secure storage of documents, adhering to Ministry protocols.

Decision Support & Administrative Oversight

  • Make informed decisions within delegated authority and Ministry policy frameworks.
  • Support budgeting and purchasing processes and monitor expenditure where required.

Cultural and Organisational Alignment

  • Promote positive behaviours and uphold the values of the School Property Group.
  • Work in alignment with te Tiriti o Waitangi commitments and the Ministry’s inclusive culture.
